These are prospective new students that inquired about your school, filled out information sheets, called your school or visited your website. The key is to have an extremely easy and effective follow-up system. That was important - read the last sentence again.

I have started this on my schools website www.pmaredmountain.com. Once a prospect registers for more information we will automatically send 12 weeks of information and sales e-mails to this prospect. Why so many? It is proven that a prospect may need to hear your message up to 7 times or more before taking action. These are not simple reminders but again professionally written articles that have the purpose of educating and motivating the prospect to call and make an appointment.

3. This is intended for e-mailing prospects that call asking for information, contact your web site, stopped by your school or filled out an information sheet.

4. IT IS NOT intended for the following. Don't ask students to give you their entire e-mail list of friends. Doing so will get you in a heap of trouble for spamming and render your program ineffective.

5. If you are not totally computer savvy like me our webmaster, Renee will set up your AWEBER account, customize the letters for you and get you totally set up and started for only $199. Or again, you can do it yourself for free.

This is one of those no brainers that you should do. We have done the work for you and spent a considerable amount of money to have these letters professionally written. Speaking of that, I would caution everyone to use them just as they are. Please don't try to second guess a professional marketer and copywriter. Many schools are getting lots of responses to their websites. My site happens to be my number one source of new student inquiries. Don't miss the important follow-up to help turn these inquiries to students.

Leadership Lesson

A leader must have infectious optimism. The final test of a leader is the feeling you have when you leave his or her presence.

Have you a feeling of uplift and confidence?"

Have you ever been in an hour-long meeting that seemed to last a decade?

I'm sure many of us have, but we've all likely also been in hour-long meetings that seemed much shorter because of the positive energy and the optimistic message generated. Given the choice of meetings, which would you rather attend....or lead?

As leaders, we should champion the philosophy that the glass is half-full and send a positive message no matter the circumstance. That doesn't mean we should sugar-coat or obscure the truth, but instead promote a dynamic work environment and can-do attitude which enlists and invigorates our team-members in the pursuit of a goal, even and especially a very difficult one. Your team certainly takes their cues from you...you can be optimistic and help guide them to potential success despite adversity or obstacle, or you can be pessimistic in approach and help pull your team down into a sea of mediocrity.

I urge you to reflect on how you approach your team and communicate with them. Is your message, attitude, and presence an infectious one that inspires your team to paddle vigorously in the same direction and go far beyond what they thought possible, or is it one that leaves them looking for the nearest escape route?

I always want team-members that I am associated with to leave our meetings with the motivation to embody the spirit that Zig Ziglar captured when he said:

"I'm so optimistic I'd go after Moby Dick in a row boat and take the tarter sauce with me."

Starve pessimism, not your team. Feed them your optimism and sit back and enjoy the seafood........

You have recommended roundtables in the past and I was wondering if you have an outline or any ideas for conducting one. I would like to have one at my schools in the near future.

Hello

A round table is used to gather information on your school. They can be general in nature or very specific. We had a challenge one time recruiting teens and did a roundtable with out present teens to identify what we might have been doing wrong. I recently went to Washington and did a roundtable with parents just to get a feel for the school.

1 Pick about 12 - 20 parents or students to attend the roundtable. This is not a parent-owner meeting, but rather focus group that you are putting together so be sure to limit the attendance. Choose these 20 people from a wide scope and not just your favorite parents and students.
2 You can conduct the meeting yourself or have someone else do it for you. If you do it yourself it is important not to justify anything, but rather just listen and take notes. This is very difficult for many owners because they begin to take things personally, however, you want to make sure everyone feels comfortable talking and bringing up concerns.
3 Be informal and sit everyone in a circle. It's nice to have refreshments like coffee and donuts available.

You should start by thanking everyone for coming because their input is so important. You then lead into the discussion with some general questions that will lead into more specific areas. The following questions are great for getting a good feel about your school and systems.

1 What goals originally brought you to our school?
2 How did you hear about our school?
3 How many other schools did you research before choosing our school?
4 Have your goals changed?
5 What do you feel is the publics' "stereotype" or image of our school? Are we a fighting school? Life skills school? Competition school? What is the image of other schools in town?
6 Who is your favorite instructor? Why?
7 How do you feel about testing? Is it fair, too easy or too hard?
8 What would you like to see more of in class? What could you do without?
9 If you had a magic wand and could change anything about our school, what would it be?
10 How do you feel about the value of our program? Do you think the pricing is fair for the value? Do we charge too little? Do we charge too much?
 
Take great notes and be sure not to let the conversations get too far off the subject. Ten questions will easily take 90 minutes. I am sure you will learn a lot. Please feel free to call me following the round table to discuss what you learned.

 


 
Success Story
 
Just thought I'd drop a line and say hello. Hope all is well with you and Mrs. Silva. The school has been going fine over the summer and I’ve been lucky to get some great free press lately. We had this article in this month's local magazine which has already produced some new students in my MMA program and more leads coming in. Today my son and I were interviewed by the local newspaper and television for both of us winning 2 world titles each, 2 weeks ago at world championships so I'm sure that will help a lot as well. Plus getting my ads and things ready for back to school and college will keep me busy for a while. Here's a copy of the magazine article the newspaper and tv should be out tonight.
